Information we collect

The personal information that you are asked to provide, and the reasons why you are asked to provide it, will be made clear to you at the point we ask you to provide your personal information.

If you contact us directly, we may receive additional information about you, such as your name, email address, phone number, the contents of the message and/or attachments you may send us, and any other information you may choose to provide.

When you register for an Account, we may ask for your contact information, including items such as name, company name, address, email address, and telephone number.

Collection of personal data as part of the health insurance switching/registration service

You can request information about or initiate a change of health insurance provider via GermanPedia. Personal data within the framework of the health insurance switching/registration service are information about a particular person’s factual or personal circumstances insofar as the information is necessary to initiate joining or changing health insurance companies.

The collected data is required to send information or initiate a desired change of health insurance provider. Without the provision and processing of this data, the requester’s (your) goal would not be achieved.

We save your “email address” and “consent” indefinitely unless you submit a written request to delete it. We delete the rest of the data from our servers within 25 hours or once you are a member of the chosen health insurer, whichever is longer. We process the data (using a GDPR-compliant third-party tool) you entered to complete the health insurance provider’s form and send it to our partner insurance broker. The insurance broker then contacts the chosen health insurance company on your behalf to make the switch or join. By using our health insurance switching service, you agree to the privacy policy and terms & conditions of our partner broker firm (ExpatCompassGermany, a brand of BVLG) and the chosen health insurer (TK). You consent to the insurance broker forwarding your application to the chosen health insurer.

If you use our service, you agree to be contacted by post, telephone or e-mail only if it’s necessary to carry out the change or joining of health insurance provider. Contact is only made by GermanPedia.com, our partner brokers, or the department of the chosen health insurance company, which is responsible for carrying out the change or joining.

The data will only be used to process this request. Data is only forwarded to the third-party tool (for completing the form), partner insurance broker, and the selected health insurance company. The personal data will not be passed on to other third parties. The consent to the storage of personal data that the data subject has given us for the purpose of sending information or changing health insurance providers can be revoked at any time by sending an e-mail at contact[@]germanpedia.com.

How is your data processed?

We use a third-party tool, “Fillable PDFs from CosmicGiant.” The form data is submitted to their server, where the PDF is generated. The generated PDF is then sent back to GermanPedia. The data submitted to the Fillable PDFs server is immediately deleted automatically. No data is retained.
